The patient ledger contains a record of all charges, payments, adjustments and contract installments posted to each responsible party.
You can open this feature in multiple ways: Use the method that's most convenient for you. If a patient folder is not already open, you will use Fast Find to choose the patient
to work with. Otherwise,
ViewPoint Toolbar
Ledger.
ViewPoint Shortcut Menu View > Ledger. (Or, press Alt+V on your keyboard to open the View menu options.)
Post Transaction Window Click the Ledger button. (Or press Alt+L on your keyboard from the Post Transaction window.)
Patient Fingerprint - You can enable patients to open the ledger when they touch the fingerprint sensor installed at your workstation. See "Set Up ViewPoint Properties" for details.
Choose Contract(s) to View If the View by Patient option is disabled, you can click the contract name you want to work with at the top of the window, and the ledger will display only the transactions for the selected contract. However, if View by Patient is enabled, the transactions for all contracts are included in the ledger, and you cannot select a specific contract to view.
Choose Transactions to Display Select the type of transactions to include in the ledger.
Display Future Charges (Affects only All Transactions and Contract Charges views.) - Enable this option to include contract charges with future dates. These charges will then be included in the Total Charges field at the bottom of the ledger. Future charges appear in a different color in the ledger. If this option is disabled, future charges are not listed in the ledger, nor are they included in the Total Charges field.
Date Sort / Adjust Column Widths Click the Date column heading to reverse the sort order of the transaction list. In addition, you can click and drag column headings to make them wider and narrow to better view the information.
Transaction Details - Each transaction listed in the ledger includes the date it was posted, the description, charge or payment amount, running account balance, note (if any), payment method, and reversal reason (if appropriate). Reversals and payment transfers display in red. You may have to use the scroll bar at the bottom of the ledger to view all columns. If you find a transaction that was posted in error, be sure to right-click and reverse or transfer it to maintain the integrity of your ViewPoint accounts.
Patient Totals vs. Ledger Totals The fields at the bottom of the list of billing parties indicate the sum of the charges, payments, and balance for all contracts in the patient folder, while the fields at the bottom of the ledger indicate the totals for just the currently displayed transactions.
Account Aging Click the 30-60-90 button to view the aging breakdown for the selected contract. The aging breakdown takes all transactions into consideration, regardless of which transaction type is currently being displayed. In addition, if the View by Patient option is enabled, the account aging is for the most recently-selected individual contract.
Notes Right-click a transaction and select Add/Edit Transaction Note. Then type the note you wish to apply to the transaction and click Insert. The note then appears with the transaction in the ledger, and optionally on the Financial History. (See "Financial History" for details.)
Transaction Description Right-click a transaction and select Edit Transaction Description, then change the text as needed and click Insert. The new description appears in the patient ledger, and will print on receipts, statements, and the Transaction report, even if the transaction has already appeared on a final Transaction report.
Audit Double-click a transaction, or right-click and select Audit to review posting details, including the date and time the transaction was posted, and the operator that performed the posting.
Reverse a Transaction - Use the Reversal feature of the patient ledger to correct an error if you post a charge or payment for the wrong amount, or post a transaction unintentionally, or need to completely remove a transaction for any reason. See "Reverse A Transaction" for details.
Transfer a Payment - If you accidentally post a payment to the wrong account, you can easily transfer it to the correct account via the patient ledger. See "Transfer Payments Between Accounts" for details.
Print a Receipt - Right-click a transaction and select Print Receipt to generate a receipt of payment for this transaction. (See "Receipt of Payment" for details.)
Print History / Ledger - Click Print History or Print Ledger at the bottom of the ledger window to generate a financial history report or ledger report, respectively.
Refresh Ledger - Click Refresh in the upper-right corner of the ledger window to be certain that you are viewing the most recent transactions.
This is most useful when you are posting transactions while the ledger is open, or
when multiple people are using ViewPoint simultaneously.
Transaction Groups vs Individually Posted Transactions - Charges that are posted as a transaction group appear individually in the patient ledger. See "Set Up Transaction Groups" for details.
