Use the Referrer table to set up and maintain the list of people, agencies, and other sources that refer patients to your practice. The list can include information about dentists, marketing efforts, and other patients. In addition to other information, the Referrer table contains user-defined fields, and can include a notepad of free-form text. You can also schedule Office Calendar appointments with referrers that are linked to dentist records, and review the history of past Calendar appointments, directly from a referrer record.
Choose Record to Work With - Use the Previous and Next buttons, or the dropdown button at the bottom of the table window to choose an existing record to work with.
(Enable the
Practice name option in the Display section of the properties window to list dentists, referrers, and professionals alphabetically by practice name. If this option is disabled, the lists are displayed by the person's name. See "Set Up Patient Folder Default Responses" for details.)
Display Active / Inactive Records - You can choose whether to include inactive records in your list.
Create new record- Click New. Then complete the details, described below. If you do not have the Referrer table open, you could instead click New on the ViewPoint toolbar and select the Referrer option. (Or, press Ctrl+N on your keyboard.)
Edit referrer details - Select a record to work with. If you just created a new record, it is selected automatically.
Name - You can change the referrer name if needed.
Practice name - Enter the referrer's practice name, if any. Note that you can use the practice name with Quick Search to find records in your ViewPoint system.
Contact info - Enter the address, phone number and e-mail address of the referrer.
Dentist / patient referrer - If the referrer is also a dentist or a patient of yours, do not enter a greeting, address, phone or e-mail address. Instead, enable the Dentist

option and ViewPoint will cross-reference those fields for you. When you change the name or address of a dentist you have linked
as a referrer (as describe in the Notice! below), the record changes in the referrer table also (and vice-versa).
Other referrer - Enable the Other option for non-standard referral sources, such as a Yellow Pages listing or your web site.
Inactive / active toggle - Once you create a record, you cannot delete it. You can, however, flag it Inactive. Inactive records cannot be selected for your patients. You can, however, change them back to Active if needed,
User-defined fields - Use the User Defined Fields
Print label - Click QL beside the referrer name field to print a Quick Label for this record. See "Print Mailing Labels & Quick Labels" for details.
Review / edit notepad - Use the notepad to type free-form notes. You can categorize your notes
View linked records - Click View Referrals to review the patients assigned to this referral source. If the referrer is also a patient, open the referring patient folder and select View then Referrals form the ViewPoint shortcut menu.
Duplicate this record - Click Copy To... to duplicate this record in another professional table. See Dentist/professional referrer below for details.
Manager calendar appointments - You can schedule Office Calendar appointments, and view current and past appointments directly from a referrer record, if that referrer is flagged as a Dentist Referrer.
Schedule an appointment - Click New Appointment, then complete the details about an upcoming appointment you have with this party. (This feature is not for scheduling patient appointments.) The appointment is saved to your Office Calendar, where you can review and edit the appointment details as needed. See "View Your Office Calendar" for details.
View appointment history - Click Appointment History to view the dates, times, and notes of current and past appointments that were scheduled with this party on your Office Calendar. Note that you can only review the appointment details here: You must go to your calendar to edit or delete the appointment. See "Add & Edit Office Appointments" for details.
Print -
Save your changes - Click Exit to save the changes you have made and close the editing window.
Dentist / professional referrer - If this referrer already has a record in your Dentist table, check the Dentist Referrer box, then select the dentist name from the accompanying list. You can alternately click Copy To... to duplicate the record in the Dentist table and automatically link it to this record. When referrers are linked to professionals in this way, changing the address in the professional (i.e. Dentist) table will auto-change the address in the corresponding referrer record, but not vice-versa. Consequently, you should update the information for linked referrers in the professional record and not in the referrer record.
Patient referrer - If this is a patient that referred another patient to your practice, just enter the name, check the Patient Referrer box and select the appropriate patient. If you then change the address in the patient folder, the referrer record is updated automatically, but not vice-versa. Changes made to a Referrer table record to not change linked patient folders. Consequently, you should update name and address information of linked referrers from the patient folder and not the Referrer table.
