Automatic - (Optional.) If the Hide VP ToDo on Startup option is disabled, as described below, your list of tasks due today or in the past will open automatically whenever you log into ViewPoint.
ViewPoint Toolbar - VP To Do.
ViewPoint Shortcut Menu - Add-In > VP To Do. (Or, press Alt+D on your keyboard to open the Add-In menu options.)
Enable / Disable Hide on Startup Option - Enable / disable the Hide VP To Do on Startup option at the top of the window to toggle whether your task list appears automatically whenever you log into ViewPoint. If this option is enabled, you will need to open your task list manually from either the ViewPoint toolbar or shortcut menu, as described above. Note that scheduled task reminder pop-ups will still appear automatically, even if this option is enabled.
Choose Tasks to Display - When you first open your task list, Today's Tasks are displayed. You may, however, use the drop down menu in the far upper left of the window to select a different set of tasks to view.
Today's Tasks - This option displays active tasks (those not flagged as Completed) with due dates of today or in the past, and any future tasks that fall within their Show Daily Reminder setting. Initially, this option is grouped by Assignment Type, with your tasks listed first, those you have assigned to others next, and finally tasks assigned to all operators. To reverse the order, simply click the Assignment Type heading at the top of the list.
Tasks by Assignment - This option displays all active tasks (those not flagged as Completed), regardless of the due date. Initially, this option is grouped by Assignment Type, with your tasks listed first, those you have assigned to others next, and finally tasks assigned to all operators. To reverse the order, simply click the Assignment Type heading at the top of the list.
Tasks by Category - This option displays all active tasks (those not flagged as Completed), regardless of the due date. Initially, this option is grouped by Category, with un-categorized tasks listed first, followed categories in alphabetical order. To reverse the order, simply click the Category heading at the top of the list.
Completed Tasks - This option displays only tasks flagged as Completed. Initially, this option is grouped by Assignment Type, with your tasks listed first, those you have assigned to others next, and finally tasks assigned to all operators. To reverse the order, simply click the Assignment Type heading at the top of the list.
All Tasks - This option displays all tasks. Active tasks are listed first, by due date, followed by tasks flagged as Completed, listed by completion date.
Search Results - This option displays the tasks that match the text in the Search field, as described below.
Review Displayed Tasks - The VP To Do window shows you the priority level, due date, category, assignment details, active/completed status, and extended description of each task in the list.
Priority - The priority column of your task list indicates the level selected for the task: High priority tasks are indicated with a red symbol; normal tasks have no mark in the priority column; low priority tasks are indicated with a blue
Task Subject & Extended Description - The Task field is a brief, yet descriptive name for this task. A + symbol preceding this field indicates that there is text in the Extended Description column at the far right of the window.
Assignments - The Assigned By column indicates the person that created the task; the Assigned To column indicates who is responsible for the task. Since you are able to see who has assigned tasks to you, you can contact that person with any questions you might have. In addition, you are able to see the progress of tasks that you have assigned to other operators. Note that if the task is assigned to All operators, the Assigned To column is blank.
Color Codes - Task colors indicate their active status: Blue tasks have due dates in the future; black tasks are due today; red tasks have due dates in the past.
Search Tasks - Type the text you are searching for in the Search field at the top of the window, and press Enter. VP To Do will search the Text and Description fields of each task, and list them in due-date order. Note that you can select the Search Results viewing mode to see the tasks that match the current Search field text.
Regroup, Resort & Reorder - Adjust the task list view to suit your needs.
Regroup - Click a column heading (such as Category or Assigned To) and drag it to the grouping area just under the View Type and Search fields. If multiple headings are in the grouping area, the tasks are grouped first by the first heading, then by the next sub-heading and so on. To reverse the sorting order, click the heading. To remove a grouping, simply drag that heading out of the grouping area.
Resort - Click a heading name in the grouping area, or a column heading in your task list to reverse the sort order within each section.
Adjust Columns You can adjust both the width and location of the columns in the window. All columns return to the defaults when you exit and re-enter.
Add & Edit Tasks - Click New at the bottom of the task list window, or select a task and click Edit (or double-click the description). Then enter or change the task details.
Task - Type a short description of the task in this field.
Due Date - Enter the date the task is due to be completed in this field.
Priority - Identify the importance of this task. The priority column of your task list indicates the level selected for the task: High priority tasks are indicated with a red symbol; normal tasks have no mark in the priority column; low priority tasks are indicated with a blue
Category - Select a category for the task, or type a new category name. You can sort tasks by category in your task list, which may be helpful as your list becomes lengthy. Once you type a new category name, it cannot be deleted. Therefore, we recommend that you carefully consider the categories you will need before typing them in, and keep the list as short as possible. Note that the category list is user-specific: Your categories may be different from another ViewPoint user's categories.
Show Daily Reminder - Enter the number of days before the due date that this task should appear in the Today's Task list.
Popup Reminder Date and Time - Enable the Popup Reminder option, then enter the date and time you want to be reminded of the task. At the specified time, the reminder will pop onto the screen of the person assigned to the task. If the operator is not currently logged into your system, the reminder will appear as soon as the log in takes place. (See "Manage Task Reminders" for details.) The reminder will pop up as scheduled, even if the user has enabled the Hide VP To Do on Startup option (described above).
Recurrence - If this task should be repeated at regular intervals, enable the Recurrence option, then select how often the task should take place. Note that when you delete or complete an occurrence of the task, the next occurrence will be activated, and will appear on your task list as scheduled.
Completed - Enable the
Completed field, and indicate the date the task was finished. If the task is flagged to recur, it will appear again in your active task list at the next scheduled interval. Note that flagging a task as completed does not delete it.
Assign to - Identify who is responsible for the task, you,
Description - You can type anything in the description field that may be helpful in completing the task: instructions, reminders, meeting agendas, task-related contacts, etc. This field word wraps automatically and is virtually limitless as to number of characters which can be entered. Right-click in this field to access a basic text editing menu, or use standard cut/copy/paste keyboard shortcuts.
Save - Click Save at the bottom of the task window to save your new or edited task and exit the task window. (Or click Delete to remove it.)
Print Tasks - Display the tasks you want to include in the report, then click Print Preview. You can then use the report toolbar to view and print the results.
Delete a Task - Click Delete to remove the task from your system. Then confirm your action. Note that when you delete a task that is flagged to recur, you have an opportunity to delete just the current task, or remove all future occurrences as well.
Refresh - Click Refresh in the upper-right corner of the task window to be sure you are viewing your most current task list.
Respond to a Task Popup Reminder - When a scheduled task reminder pops onto your screen, you have the opportunity to work with the task then, flag the task as complete, dismiss further notices, or set a "snooze" timer for future notification. See "Manage Task Reminders" for details.
