Use Data Tool 140 - Mass Update Email Flags to reset the electronic correspondence options for any group of patients or responsible parties.
ViewPoint main menu > Tools & Utilities > Data tools.
Heed warning - Review the warning message about running data tools. If you are sure you want to continue, click Ok.
Initiate data tool - Destructive #2 > (140) Mass Update Email Flags > Run.
Data tool 140 - Mass Update Email Flags is found on the Desctuctive #2 tab, because it can change the way patient folders and responsible parties function. After selecting this tool, click Run to continue.
Choose records & update settings - Choose which records to work with, and how you want the flags set for each of those records.
Change Patient or Change RP - Enable either Change Patient or
Change RP to select whether you want to update the email flags for patient folders or responsible party records.
Flag settings - Set the email flag for each option the way you want them to be set for the group of patients or responsible parties you are working with. Forms are always recorded in the appropriate correspondence history whenever they are generated, whether you print or email them.
Select On to set the flag for emailing (and not printing) the information to the patient or responsible party rather than printing it.
Select Off to set the flag for printing (and not emailing) the information to the patient or responsible party.
Select No Change to leave the flag as-is for the subgroup of records you are working with.
Subgroup - Select the subgroup to work with. Only the patients or responsible parties that fit this subgroup will be affected by your settings.
Execute tool - Click Ok to begin running the tool.
View results - After the tool has finished running, review the results window, then click Close to exit.
Set up default & individual email flags - While you set up email form defaults for new patients in your Patient Properties, you can turn these features on/off directly from the Patient and Responsible tabs of the patient folder. Note that when you generate a form that is sent via email, rather than printed, it is still recorded in the appropriate correspondence history.
