Grid Scheduler Templates Editor

Use the Grid Templates editor to design your scheduling screens, including the number of chairs, time intervals, and cell classifications. You may create as many templates as you need to accommodate all your scheduling situations.

Grid Templates vs Specific Date Templates - This article discusses creating and editing Grid Scheduler templates for use with future dates: If you want to change the scheduling screen for an individual date, use the Grid Tools > Template Editor icon, available from the Grid Scheduler toolbar. See "Grid Template Tools" for details about using this tool.

Share Grid Templates - You can use Data Tools (122) and (123) to share Grid Templates among consultants, multiple offices, and other practices. In addition, Ortho2 may use these tools in certain system conversions. These data tools have important database requirements and restrictions, and will overwrite existing Grid Templates with the same name. Please contact Ortho2 for further details if you are interested in using these tools. 

Click to OpenCreate a New Template

You can create a new Scheduler template from scratch, or copy an existing template to use as the starting point for your new one. You then choose the number of columns, time interval, and other screen parameters, and finally, you can classify individual grid cells.

  1. Click to OpenOpen Grid Template Editor - From the Grid Scheduler toolbar, click the Grid Tools drop down button and choose Template Editor. (Get help opening your Scheduler.)

  2. Click to OpenCreate / Copy a Template - Click New to create a template from scratch, or select an existing template and click Copy to use that template as the basis of your new one.

  3. Click to OpenChairs / Columns - Specify the number of chairs, or columns, to have in the template. You can then optionally click in each field to name the chair, and assign a specific doctor, office, and assistant. When a chair assignment is present, only appointments that meet the assigned requirements can be scheduled to that chair. When finished, click Next to continue.

  4. Click to OpenTemplate Time Coverage - The template time window defines the time interval, or number of minutes, allotted for each scheduling cell, and the starting and ending time for the day. When you have finished with this screen, click Finish to save the template and continue to the Grid Tools window.

    First, enter the number of minutes for each time slot, or cell. Many offices schedule by 5, 10, or 15 minute intervals. Then, enter the time to start and end the day, and click Recalculate Template Rows to display all the time slots.

    If you have a large break during the day, you can click in the left column of a row (or hold the Shift key down to select a range of rows) and press your Delete key to remove those times. You can also click a row caption to change the name of a time slot (for example, you might click the caption "12:00 pm" and type "LUNCH".)

    If you change the time interval, or remove a time slot in error, clicking Recalculate Template Rows again will recalculate and restore all time slots.

    Once this template is saved, you will be able to edit row captions, but you will not be able to edit the times. When finished, click Finish to save the new template and continue to the Grid Tools window. Or, click Back to review your template settings, or click Close to exit without saving.

  5. Click to OpenUse Grid Tools - When you click Finish to save your new template, the Grid Tools window opens automatically. Use Grid Tools to classify scheduling cells, apply colors, add text, and otherwise define the cells of your scheduling templates. Certain settings are available only when you first create a template from the Templates Editor. See "Grid Template Tools" for details about using these tools. When you exit Grid Tools, all of your template changes will be saved and the Template Editor window will close.

Click to OpenEdit an Existing Template

When you edit a scheduling template, any dates that are already assigned to the template are not affected.

  1. Click to OpenOpen Grid Template Editor - From the Grid Scheduler toolbar, click the Grid Tools drop down button and choose Template Editor. (Get help opening your Scheduler.)

  2. Click to OpenSelect Existing Template - Your list of existing templates appears at the left. Click the record to work with, then use the tools at the right as needed. If not all your templates appear in the list, you can enable the Show All Templates option to include inactive templates in the list.

  3. Click to OpenGrid Template Options - You can rename the template, and toggle it active / inactive from the Grid Template Editor window. If you do not need further editing, click Close to save your changes. Or, click Edit to continue to the Grid Tools window.

  4. Click to OpenUse Grid Tools - With an existing template selected, click Edit to open the Grid Tools window. Use Grid Tools to classify scheduling cells, apply colors, add text, and otherwise define the cells of your scheduling templates. Certain settings are available only when you first create a template from the Templates Editor. See "Grid Template Tools" for details about using these tools. When you exit Grid Tools, all of your template changes will be saved and the Template Editor will close.
