Use the Setup & Maintenance section of your Outbound Integration tools to to specify which third-party outbound reminder package you want to integrate with your ViewPoint patient data.
Before setting up and using your third-party outbound reminder package with ViewPoint, your third-party application must be installed correctly (with help from the manufacturer, if necessary). If you do not have such an application and you are interested in learning more, please contact Ortho2.
ViewPoint Main Menu - Tools & Utilities > Outbound Integration > Setup and Maintenance.
ViewPoint Toolbar - Edge Reminders or
VP Reminder or Outbound Integration > Setup and Maintenance. Note that the icon may be different, depending upon the integration you currently have activated.
Open the integration.
Choose Setup & Maintenance.
ViewPoint Shortcut Menu - Add-In > Edge Reminders or
VP Reminder or Outbound Integration> Setup and Maintenance. Note that the icon and description may be different, depending upon the integration you currently have activated.
Open the integration.
Choose Setup & Maintenance.
Select Integration Tab - Use the Integration tab of your Outbound Integration Setup & Maintenance window to set up your ViewPoint system to work with your third-party package.
1) Integration type - Select the program you use for appointment reminders.
2) Output location - (Not needed for VP Reminder or Edge Reminders.) This is the location where ViewPoint will save the file with the information on the patients to be called or emailed. You can type the location, or click Browse and navigate to the desired directory. If you use the HouseCalls integration, ViewPoint will attempt to detect the location automatically. Otherwise you will need to fill it in manually.
3) Ortho2 ViewPoint System Number - (Not needed for VP Reminder or Edge Reminders.) In most cases, the ViewPoint system number should remain at 1. However, if you run multiple ViewPoint databases, and you want to use the OutBound Integration with each database, you need to define which database you are using in this field. Then, be sure to enter the number that you have defined for this database in your third-party application setup. (You may need to contact your application manufacturer for more information.)
4 – 8) User Defined Message Description- (Not needed for VP Reminder or Edge Reminders. Optional) When you run your outbound reminder application for a group of patients, the output file will contain five custom fields, each one character in length, that can help determine which message to relay to which patient. You, along with the provider of your reminder software, can decide what you wish to use these fields for. These criteria are read by your reminder software as it selects the message to send to a patient.
For example, imagine that you need to specify whether to send an English message or a Spanish message to a patient. To set this up, notify the provider of your outbound reminder software that a specific field in the output file (i.e. Field 4) will contain the letter E if an English message is to be sent, or the letter S if a Spanish message is to be sent. Then, type a description of the criteria in the User Defined field you have selected to use for that purpose. (Note that Field 4 already defaults to the description Language (E)nglish / (S)panish).
Then, go to your Patient Defaults options. You will see a field for your new criteria (i.e..Language (E)nglish / (S)panish). Type the letter E in the field if most patients should receive your English message, or type the letter S in the field if most patients should receive the Spanish message.
Finally, use your Specific Patient Settings options to review and change the value of your new criteria for individual patients.
When you run your reminders, the software will see the E or S for each patient in the output file, and send the appropriate message to each patient.
9) Automatically build calling list when running HouseCalls - (Available only for HouseCalls.) When this checkbox is selected, a calling list based on information in your output files is created automatically when HouseCalls is started.
10) Exit ViewPoint after running reminders - (Available only for HouseCalls; This is Field 3 of the Edge Reminders Integration) Enable this option to clise ViewPoint automatically after your reminders have been run. This feature is especially useful if you set the reminders to run after you have left the office for the day.
