Subgrouping by Dates

To subgroup by a date field:

  1. Expand the display until the desired field is visible.
  2. Double-click the field you want to include in your subgroup to see a screen similar to the one below.

    (In the example below, we first expanded the -Patient category, then the -Milestones sub-category, then we finally double-clicked the {Dismissal date} field.)



    Enter
    the value you want to evaluate in the  {First Date} field. If you are subgrouping a range of dates, you may also enter the {Last Number} now.
     
  3. Select the operation to use:

    Equal To  Choose Equal To when you want your subgroup to include records that exactly match your {First Date} field.  Any value in the {Last Date} field is ignored. .

    Not Equal To  Choose Not Equal To when you want your subgroup to include records that do NOT match your {First Date} field.  Any value in the {Last Date} field is ignored. .

    Greater Than  Choose Greater Than when you want your subgroup to include records that fall after, but do not match,  your {First Date} field.  Any value in the {Last Date} field is ignored.

    Less Than  Choose Less Than when you want your subgroup to include records that fall before, but do not match,  your {First Date} field.  Any value in the {Last Date} field is ignored.

    Greater Than or Equal To  Choose Greater Than or Equal To when you want your subgroup to include records that either exactly match or fall after your {First Date} field.  Any value in the {Last Date} field is ignored.

    Less Than or Equal To  Choose Less Than or Equal To when you want your subgroup to include records that either exactly match or fall before your {First Date} field.  Any value in the {Last Date} field is ignored.

    Range of Numbers  To subgroup by a specific range of dates, enter a value in both the {First Date} and {Last Date} fields. .

    In our example, the subgroup would include patient folders that have a {Dismissal Date} that falls either on or after April 1, 2004.
  4. CheckNot to reverse the meaning of the selected operator, if appropriate.
  5. Check the Prompt for Date box if you want to be asked which dates to search whenever you use this subgroup template.  This allows you to create templates for periodic events, such as birthdays.  If the box is not checked, the date(s) you specify remain constant, no matter when you use the template.

    If  you checked Prompt for Date, you now type the Prompt to Display whenever you use this template.  In our example, we will be prompted by the question: Dismissed ON or AFTER: whenever we choose to use this template.  We can then supply the appropriate date for the current subgroup job.
  6. Click [Ok] to add the response to your subgroup and return to the summary screen.

Finally, check AND or OR in the subgroup summary to indicate how this criteria should relate to the criteria directly above it.
